Electronic creation, editing and archiving

Documents on paper were yesterday. In Scope, documents are generated electronically and stored as PDFs in an electronic file. They can be exchanged electronically with business partners – and even printed out if required. If you create a document more than once, older versions are retained so that changes can be tracked. You can also store externally generated documents in any format in the electronic file. Conversely, you can store documents externally in an audit-proof manner.

ARCHIVING IN THE ELECTRONIC FILE

Whether for necessary evidence or clarification of discrepancies, Scope ensures complete insight and transparency. By archiving in the electronic file, you can trace back or track documents subject to retention or worthy of retention for all processes.

STORAGE IN EXTERNAL DOCUMENT ARCHIVE WITH AUDIT SECURITY

Using an XML interface, you can automatically transfer documents to an external document archive, where they are stored in an audit-proof manner. In addition to the PDF, the files also contain metadata such as time stamps, invoice numbers, shipment numbers, transport or house document numbers, and customs references.

EXPORT OF ATLAS AND E-DEC DOCUMENTS FOR CUSTOMS CLEARANCE

In addition to shipment and invoice documents, all documents from the respective customs clearance in ATLAS and e-dec are also available for export to an external document archive.

ARCHIVE SUPPLEMENTARY DOCUMENTS IN ANY FORMAT YOU LIKE

In addition to documents for freight forwarding, finance and customs, you can store additional documents in the document archive in any format - e.g. scans of incoming invoices. In this way, all documents are stored in a single place, even if your company uses several accounting systems.

DEFINE DOCUMENT SELECTION BY CONFIGURATION

You can define which documents are to be archived externally by configuring them accordingly. This ensures that documents with a prescribed retention period - e.g. invoice and customs documents - are stored in an audit-proof manner, while supplementary documents remain in the electronic file in Scope.
